When to send each message

Six messages cover most stays. Send them on a schedule and keep the rest ready for when a guest asks.

MessageWhenWhy then
Booking confirmedWithin an hour of bookingThe guest has just paid. A quick reply from a person tells them someone is on the other end and what happens next.
Pre-arrival details3 days before check-inClose enough that they're planning the trip, early enough to ask about parking or arrival times.
Check-in instructionsMorning of arrivalThe code is at the top of the thread when they reach the door, instead of buried under a week of messages.
Arrival check1 to 2 hours after check-inCatches a missing towel or a dead remote while it's still a five-minute fix, before it ends up in the review.
Checkout reminderEvening before checkoutA short list of what to do, so the cleaners don't arrive to surprises.
Review requestThe day after checkoutThe stay is fresh, and you can mention that you're reviewing them too.

Replies to requests (early check-in, late checkout, Wi-Fi help, an issue) go out when the guest asks. Aim to answer those fast, since the guest is usually waiting on it.

If you'd rather not paste these by hand

HostOwls answers guest questions from your guidebook data, with each guest's own door code and Wi-Fi filled in from the reservation. Anything it isn't sure of goes to a person.

Message template questions

Are these Airbnb message templates free to use?
Yes. Copy them, edit them and use them on Airbnb, Vrbo, Booking.com or your own booking site. No signup.
What do the highlighted words mean?
Highlighted words in brackets still need filling in. The ones at the top of the page (guest name, door code, Wi-Fi) fill in across every template as you type. The rest, like [address] or [item], are details only you know, so edit them after you paste.
Can I schedule these messages on Airbnb?
Airbnb lets hosts save quick replies and schedule messages around a reservation, and most property management systems can send them automatically. Our guide on automating Airbnb messages covers which ones to schedule.
When should I send the door code?
On the morning of arrival, not at booking. A code sent weeks earlier is buried in the thread by the time the guest needs it, and they message you to ask again.
Is anything I type stored?
Your inputs are saved in this browser so they are still there next visit. Nothing is sent to HostOwls.
